General terms and conditions of the Digital Participant Handbook for those participating in exhibitions and other events at the RAI Amsterdam Convention Centre in Amsterdam.

In the following text is meant by:

  • Organizers: the entity mentioned as such in the Participation Terms
  • Building: the RAI Amsterdam Convention Centre in Amsterdam
  • Exhibitor: the company, organization or institution that will occupy booth space at the exhibition
  • Exhibition: the exhibition or trade fair to which these General Terms apply

Booth Construction General

The costs of booth construction and furnishing, technical connections and the consumption of these connections are at the expense of the participant. Construction and furnishing can only take place after approval of the booth design by the organizers. In addition, the fire department regulations must be taken into account (see document 'General Regulations, chapter 4, fire department regulations). It may be necessary for certain booths to meet special requirements, about which the participants concerned will naturally be informed. The organizers cannot accept liability for any resulting costs. Floors, walls, ceilings and other parts of the building may not be damaged by drilling holes or with nails, paint, glue, etc. (see General Regulations article 12 section c). Markings on the floor indicate the location of the booths; in case of doubt, it is advisable to inquire with the Event Management department. The aisles are usually carpeted; the remaining floor surface is painted.

Booth Design

For assessment and approval, the booth design must be in the possession of the organizer, namely PROVADA B.V., no later than Thursday May 1. PROVADA would like to receive a design with dimensions, such as the height of the side walls (if applicable) and back wall. The booth design may be submitted by sending an email to femke@provada.nl.

Minimum Booth Construction Requirements

Walls
You must place the partition walls with the neighbors yourself and they must have a height of at least 2.75 meters and a maximum of 5 meters. The participant who has the highest wall must finish the difference with the neighbors in a tight, uniform white finish. It is necessary to record this mutually in writing and submit it by email to femke@provada.nl. The form for this can be found in My PROVADA.

Depending on the hall height, building higher than 5 meters is possible, provided you have coordinated this with the organization and the neighbors. In the interest of your neighbors, you may only build higher than the standard height of 5 meters at a distance of 1 meter from your neighboring booth. The partition walls must therefore always be at least 2.75 meters and a maximum of 5 meters. This way you and your neighbors will not face unnecessary surprises. If the neighbors have no objection, this rule may be deviated from after obtaining permission from the organizer and neighbors; it is necessary to record this mutually in writing and submit it to PROVADA by email to femke@provada.nl

Especially participants with an island booth or an end booth sometimes lack wall space. Additional wall space can then be created by extending the wall along one of the aisles. A logical solution, except that visitors and neighbors across the aisle are confronted with a view of a blind wall. This is of course not really elegant. If you are short of wall space, you can also create additional walls within your booth space.

Please note: each aisle side of a booth space may be closed off for a maximum of 50%, with a maximum of 5 meters (contiguous). We reserve the right to give other regulations if necessary, without giving reasons. Read more about the booth construction regulations for PROVADA 2026.
