THE EXHIBITION PROGRAMME ULTIMATELY RELIES ON THE EXHIBITORS



The vision and ideas of the exhibitors give the programme substance and depth. After all, you, the exhibitor, know better than anyone what is, or should be, happening in the industry!

Do you have an idea or topic relating to one of the themes of the day? Would it appeal to all the visitors at PROVADA, or perhaps just to a specific real estate, or property-related, target group? We look forward to hearing about your event ideas and would be happy to discuss with you how we can jointly put together a programme packed with compelling and inspirational content.

Organising an event in a conference hall

ORGANISING AN EVENT IN A CONFERENCE HALL



The RAI Amsterdam E conference halls (or E-zalen in Dutch) are available to you for organising events such as lectures, debates and presentations. The halls have a standard theatre set-up. There are also four conference rooms available (one of which in a lounge style).

The cost of the hire of the hall will be charged on to you. A standard set of audiovisual equipment and water for speakers are included in the cost of the hire. Events relating to the themes of the day are actively highlighted in the programmes published by PROVADA.

If you would like to book a conference hall, we invite you to use the online booking system at “My PROVADA”.

RULES FOR ORGANISING AN EVENT IN YOUR HALL


  • Catering supplies for the halls should be requested directly from RAI Exhibitor Services (exhibitorservices@rai.nl or +31 (0) 20 549 19 28).
  • Using a hall solely to host drinks parties and/or lunches is not permitted.
  • Hall reservations are valid for a maximum of 14 days, after which they expire automatically.
  • Hall cancellations one month or less before the exhibition will incur a cancellation fee.
  • Additional audiovisual equipment may be requested via “My PROVADA”. The cost of any additional audiovisual equipment will be charged on to you.

Organising an event at your stand

ORGANISING AN EVENT AT YOUR STAND



You have the option of organising an event and/or a reception/drinks party at your own stand. To ensure everything runs smoothly, PROVADA will inform exhibitors of any events planned in the immediate vicinity at the same time (based on the information available). The relevant exhibitors are then free to coordinate their events among themselves. Events relating to the themes of the day are actively highlighted in the programmes published by PROVADA.

RULES FOR ORGANISING AN EVENT AT YOUR STAND


  • Notification must be given of all events (requiring amplified sound) via “My PROVADA”.
  • Events requiring amplified sound at a given stand may last no more than 20 minutes each.
  • Because of the increased noise level, debates are not permitted at individual stands. If you are interested in hosting a lecture longer than 20 minutes or a debate, we ask that you please avail yourself of one of our conference halls, a forum or the option of joining one of the events supervised by PROVADA.
  • Exhibitors may organise no more than 2 events per day requiring amplified sound at their stand. These events may not be held back to back.

 

RULES FOR ORGANISING RECEPTIONS OR DRINKS PARTIES AT YOUR STAND


  • Notification of any and all types of entertainment requiring amplified sound (e.g. presentations, lectures, receptions and musicians at the stand) must be given via “My PROVADA”.
  • Entertainment at the stand is possible only if PROVADA has given written permission.
  • In accordance with procedural guidelines, drinks parties and receptions with or without amplified sound may not be organised before 4.30 p.m.

Hiring a Forum

HIRING A FORUM


Would you, as an exhibitor, prefer to organise an event in one of the forums? This year, the forums, too, are equipped to host events.

The cost (€980,- excl. VAT/hour) of the hire of the forum will be charged on to you. An extensive set of audiovisual equipment (including a technician) and water for speakers are included in the cost of the hire.
